Job Description

Administrative Assistant / Customer Service

Position Purpose:

To perform a range of customer service, administrative and office duties to support the overall team functions of the company.


Principal Duties:

The following are the principal duties of the Administrative Assistant:

  • Enters quotes and orders in the company specific database
  • Generates and sends customer quotes for stock items, custom manufactured products, and services
  • Communicates with local customers, international customers and vendors
  • Processes orders, prepares correspondence and fulfills customer needs to ensure customer satisfaction, including updating customer credit card information and confirming correct information on purchase orders
  • Assigns Return Merchandise Authorization (RMAs) numbers and takes orders from customers and updates customer information
  • Follows up on RMAs, demo units, rentals and any other VTI owned inventory that is off-site
  • Performs other clerical and administrative tasks such as preparation of travel arrangements, coordination of customer and vendor lunch meetings, photocopying, filing, faxing and answering the phone as needed
  • Learns and stays up to date on products and service offerings to interface with both customers and VTI engineers to support responsive communication
  • Performs other duties and special projects as assigned by supervisor

General Requirements:

  • Associate’s Degree in Business or equivalent
  • Eight to ten years of office experience
  • Advanced knowledge in Word, Excel, Outlook and Adobe
  • Acute attention to detail and accuracy
  • Ability to communicate accurately and clearly both orally and in writing
  • Strong organizational, problem solving and interpersonal skills
  • Ability to work independently and deal effectively within a diversity of individuals at all organizational levels
  • Versatility, flexibility and willingness to work within constantly changing priorities with enthusiasm
  • Professionalism, discretion, and focus. Goal oriented, multitasker, willing to help others, follows directions and is proactive when working independently or with others
